Open Position: EXECUTIVE SECRETARY TO THE DG
APNI is seeking a qualified candidate for the position of Executive Secretary HQ office in Benguérir.
About the African Plant Nutrition Institute:
APNI is a not-for-profit research and development Institute based in Benguérir, Morocco. The Institute works to develop and promote sustainable plant nutrition management practices and innovation through research, education, and outreach. It has active research projects in East, West, and North Africa. APNI was launched in 2019 and this new position offers the opportunity to join a rapidly growing team that is dedicated to improving farmer livelihood through proper crop nutrition. It currently has four offices across Africa.

Terms of Reference:
Location: APNI HQ offices in Benguérir at the Experimental Farm of Mohammed VI Polytechnic University (UM6P) Campus
Reports to: APNI’s Director General
Specific Responsibilities:
The Executive Secretary will be responsible for the following tasks:
Calendar Management:
- Coordinate and manage the DG’s calendar, scheduling appointments, meetings, and events.
- Prioritize and arrange appointments based on the DG’s priorities and availability.
- Provide timely reminders and updates to the DG regarding upcoming commitments.
Travel Management:
- Plan and organize domestic and international travel arrangements for the DG, including flights, accommodation, transportation, and visas.
- Prepare detailed itineraries, travel documents, and necessary briefing materials.
- Coordinate logistics and ensure smooth travel experiences for the DG.
Meeting Coordination:
- Schedule and coordinate meetings, both internal and external, ensuring optimal use of the DG’s time.
- Prepare meeting agendas, documents, and presentations as required.
- Take accurate minutes of meetings and distribute them in a timely manner.
Administrative Support:
- Handle incoming and outgoing correspondence, emails, and phone calls on behalf of the DG.
- Draft and proofread documents, reports, and other materials as requested.
- Maintain confidential records, files, and databases relevant to the DG’s office.
Qualifications and Experience
- High school degree or equivalent. Bachelor’s degree preferred; Curricula: Business Administration and/or Management.
- 2-5 years experience in a secretarial or office administration role
- Mandatory: Strong verbal and written communication skills in English, French, and Arabic.
- Demonstrated strong organization and time management skills, with a focus on managing multiple calendars, assigning priorities, and meeting deadlines in a fast-paced atmosphere.
- Candidate must be self-motivated with strong follow-up skills.
- Advanced level of proficiency in MS Word, Excel, and PowerPoint.
- Must be able to work independently as well as assist other areas when needed.
- Demonstrated problem-solving and decision-making skills
- Self-starter with the ability to anticipate needs, take initiative and proactively problem-solve.
- Proven ability to maintain confidential information and interface with all levels of management.
